Add a user and set their access

Add an Admin or Event Owner, assign privileges and explain their email login.

Before you start: Sign in to the real Admin Portal as your community’s Community Admin. Use your own community details when following these steps.

How to use this lesson

Read the instruction, then look at the pointer on the example screen. Click or tap Next below when you are ready. The example screen is a demonstration. It cannot save, send or change anything.

“Select” means click once with a mouse, or tap once with a finger. You can go back, restart or take a break at any time.

In the real Admin Portal, find Users in the left-hand menu and click it. On a small screen, open the navigation menu first.

  1. Select “Users”

    In the real Admin Portal, find Users in the left-hand menu and click it. On a small screen, open the navigation menu first.

  2. Select Add user

    Click Add user to add someone to this community’s portal.

  3. Open “Role”

    Click or tap the Role list to see its choices.

  4. Select “Admin”

    Choose Admin for someone who will edit community content. Choose Event Owner only for managing interest and email updates for assigned events.

  5. Check the selection

    “Admin” is now selected in Role.

  6. Select “Name”

    Click or tap inside the Name box.

  7. Enter name

    Type your own details here. In this example, we have entered “Alex Campbell”.

  8. Select “Email address”

    Check the email address carefully. The login code will be sent to this address.

  9. Enter email address

    Type your own details here. In this example, we have entered “alex@example.org”.

  10. Add the user

    Click Add user once. The portal creates their access and sends a six-digit login code by email. If email delivery fails, read the message before trying again.

  11. Open Access privileges

    Click Access privileges beside the new Admin. Choose what they can use before asking them to start work.

  12. Switch on “News”

    Switch on only the areas this Admin should be able to use. Each listed area is controlled separately.

  13. Check the switch is on

    “News” is now on. Check this matches the choice you want.

  14. Switch on “Pages”

    Give Pages access if this person should manage the group’s pages and minutes.

  15. Check the switch is on

    “Pages” is now on. Check this matches the choice you want.

  16. Switch on “Community Council”

    Under Assigned Local Bodies, switch on Community Council. Assigned bodies limit which group content this Admin can manage.

  17. Check the switch is on

    “Community Council” is now on. Check this matches the choice you want.

  18. Save privileges

    Click Save privileges. An Event Owner has no module or Local Body permissions; assign them to individual events using the Event Owner field instead.

  19. What the person receives

    The email contains a six-digit login code and a link to open Community Ready. This code is a training example and will not sign anyone in.

  20. Open the sign-in page

    Select Open the sign-in page in the email. It opens the portal login page with the person’s email address filled in.

  21. Request a code on the sign-in page

    The current login page shows the code box only after Email my login code is selected. Check the email address, then select that button. This sends a new code; use the newest email.

  22. Read the newest email

    Open the newest Community Ready login email. Keep the sign-in page open in your browser. Copy or remember the six digits from this newest email.

  23. Select “Six-digit code”

    Return to the sign-in page and enter your own newest six-digit code. The number here is a training example.

  24. Enter six-digit code

    Type your own details here. In this example, we have entered “654321”.

  25. Verify code and sign in

    Select Verify code and sign in. The person enters the portal with the access you have saved. No password is needed for a community account.

  26. Send a fresh code if needed

    If the person’s code has expired or did not arrive, check the email address and spam folder. Send login code requests a fresh code for that user.
