Download community data

Download the current archive and understand what it does and does not include.

Before you start: Sign in to the real Admin Portal as your community’s Community Admin. Use your own community details when following these steps.

How to use this lesson

Read the instruction, then look at the pointer on the example screen. Click or tap Next below when you are ready. The example screen is a demonstration. It cannot save, send or change anything.

In the real Admin Portal, find Data export in the left-hand menu and click it. On a small screen, open the navigation menu first.

  1. Select “Data export”

    In the real Admin Portal, find Data export in the left-hand menu and click it. On a small screen, open the navigation menu first.

  2. Review what is included

    There is one download option: Complete community archive. It contains the community record, Local Bodies, portal users, content with its blocks, resident submission records, audit history and aggregate usage counts.

  3. Select Download complete archive

    Click Download complete archive. Your browser downloads a dated JSON file. JSON is a structured data format that a technical adviser can read or process.

  4. Find the downloaded file

    Look in your browser’s downloads list or your device’s Downloads folder. The filename uses your community’s address and the date of the export.

  5. Store it securely

    The archive can include private contact details and internal records. Share it only with authorised people. Passwords, authentication secrets, notification tokens and individual device identifiers are excluded.

  6. Understand the archive’s limits

    Uploaded files are represented by saved links, not copies of the files. The current exporter does not separately export saved Form definitions, Local Group menu structures or minutes documents. Help forms sent only by email are not retained portal records.
