Configure help forms and the checklist

Set delivery, offer-help and ask-for-help options, labels and checklist items.

Before you start: You need Emergency or related help permissions to edit delivery and wording. Switching services on or off requires a Community Admin.

How to use this lesson

Read the instruction, then look at the pointer on the example screen. Click or tap Next below when you are ready. The example screen is a demonstration. It cannot save, send or change anything.

“Select” means click once with a mouse, or tap once with a finger. You can go back, restart or take a break at any time.

Select “Help form delivery”

In the real Admin Portal, find Help form delivery in the left-hand menu and click it. On a small screen, open the navigation menu first.

Look at the example. Then select Next when you are ready.

  1. Select “Help form delivery”

    In the real Admin Portal, find Help form delivery in the left-hand menu and click it. On a small screen, open the navigation menu first.

  2. Select “Delivery email address”

    Before enabling help forms, enter a monitored organisation mailbox. Both offer-help and request-help forms are emailed here, not stored as portal submission records.

  3. Enter delivery email address

    Type your own details here. In this example, we have entered “support@example.org”.

  4. Save delivery email

    Click Save delivery email. Use your community’s real mailbox when doing this outside training.

  5. Select Emergency

    Select Emergency in the left menu.

  6. Find Community support links

    Scroll below the Emergency page list to Community support links. Only a Community Admin can switch the services on or off; permitted Admins can edit the wording.

  7. Switch on “Provide / offer help”

    As Community Admin, switch this on to let residents offer help. When it is off, the card is hidden and new offers are rejected.

  8. Check the switch is on

    “Provide / offer help” is now on. Check this matches the choice you want.

  9. Select “Offer help title”

    Click or tap inside the Offer help title box.

  10. Enter offer help title

    Type your own details here. In this example, we have entered “Offer help”.

  11. Select “Offer help description”

    Click or tap inside the Offer help description box.

  12. Enter offer help description

    Type your own details here. In this example, we have entered “Tell us what practical help you can offer.”.

  13. Select “Offer help choices”

    Enter one offer-help choice on each line.

  14. Enter offer help choices

    Type your own details here. In this example, we have entered “Transport Hot drinks Phone charging”.

  15. Check arrangements before Ask for help

    Before enabling this service, confirm the safeguarding lead, authorised reviewers, escalation route and retention arrangements described on the real screen. This inbox is not an emergency service.

  16. Switch on “Ask for help”

    As Community Admin, switch this on when your community is ready to receive and respond to requests.

  17. Check the switch is on

    “Ask for help” is now on. Check this matches the choice you want.

  18. Select “Ask for help title”

    Click or tap inside the Ask for help title box.

  19. Enter ask for help title

    Type your own details here. In this example, we have entered “Ask for help”.

  20. Select “Ask for help description”

    Click or tap inside the Ask for help description box.

  21. Enter ask for help description

    Type your own details here. In this example, we have entered “Contact our community support volunteers.”.

  22. Select “Checklist title”

    This checklist stays available even if the help forms are switched off.

  23. Enter checklist title

    Type your own details here. In this example, we have entered “Emergency essentials”.

  24. Select “Checklist description”

    Click or tap inside the Checklist description box.

  25. Enter checklist description

    Type your own details here. In this example, we have entered “A few useful items to keep ready.”.

  26. Select “Checklist choices”

    Enter one checklist item per line. Residents can tick these off in the app.

  27. Enter checklist choices

    Type your own details here. In this example, we have entered “Torch Battery radio Phone power bank”.

  28. Save support links

    Click Save support links to save availability and all the wording together.

  29. See the resident Emergency screen

    The enabled help cards and checklist use your saved wording. The help forms send to the delivery address you saved separately.
