Create a form and add it to a page

Configure questions, delivery and confirmation, then insert the saved form.

Before you start: Sign in to the real Admin Portal. Your Community Admin must have given you access to this area.

How to use this lesson

Read the instruction, then look at the pointer on the example screen. Click or tap Next below when you are ready. The example screen is a demonstration. It cannot save, send or change anything.

“Select” means click once with a mouse, or tap once with a finger. You can go back, restart or take a break at any time.

Select “Pages”

In the real Admin Portal, find Pages in the left-hand menu and click it. On a small screen, open the navigation menu first.

Look at the example. Then select Next when you are ready.

  1. Select “Pages”

    In the real Admin Portal, find Pages in the left-hand menu and click it. On a small screen, open the navigation menu first.

  2. Open “Local Group”

    Click or tap the Local Group list to see its choices.

  3. Select “Community Council”

    Choose the group if the selector is shown. Forms belong to the selected group, or to the standalone workspace.

  4. Check the selection

    “Community Council” is now selected in Local Group.

  5. Select Forms

    Select Forms beside Pages. If you cannot see this tab, ask your Community Admin about your Forms access.

  6. Select Add Form

    Click Add Form to create a reusable form.

  7. Select “Form name”

    Click or tap inside the Form name box.

  8. Enter form name

    Type your own details here. In this example, we have entered “Hall booking enquiry”.

  9. Select “Send completed Forms to”

    Enter the mailbox that should receive replies. Use the organisation’s actual monitored address.

  10. Enter send completed forms to

    Type your own details here. In this example, we have entered “hall@example.org”.

  11. Select “Submit button text”

    Click or tap inside the Submit button text box.

    Type your own details here. In this example, we have entered “Send enquiry”.

  13. Select “Confirmation message”

    Click or tap inside the Confirmation message box.

  14. Enter confirmation message

    Type your own details here. In this example, we have entered “Thank you. The hall team will reply to your enquiry.”.

  15. Add a field

    Select Single field for a short answer. Paragraph field allows a longer answer. Dropdown allows one choice; Tick boxes allows more than one.

  16. Select “Question or label”

    Click or tap inside the Question or label box.

  17. Enter question or label

    Type your own details here. In this example, we have entered “Your name”.

  18. Tick “Required”

    Tick Required if residents must answer this question before sending the form.

  19. Check the box is ticked

    “Required” is now ticked. Check this matches the choice you want.

  20. Add a choice question

    Select Dropdown to add another question. Each question has its own Type, Question or label and Required setting.

  21. Select “Question or label”

    Click or tap inside the Question or label box.

  22. Enter question or label

    Type your own details here. In this example, we have entered “Type of booking”.

  23. Select “Options — one per line”

    Write one choice per line. Tick boxes use the same options field.

  24. Enter options — one per line

    Type your own details here. In this example, we have entered “Community meeting Private event”.

  25. Put questions in order

    Use the arrows on each question to move it up or down. The bin removes that question. The form needs at least one field.

  26. Save the form

    Click Save Form. Saving creates the form definition; you still need to put it on a page.

  27. Return to Pages

    Select the Pages tab.

  28. Open the page

    Click the page where the form should appear.

  29. Position the text cursor

    Click in the Writing box at the place you want the form to appear.

  30. Select Insert a saved Form

    Select the saved Form icon in the toolbar.

  31. Select your form

    Click Hall booking enquiry. It is inserted where you left the text cursor.

  32. Save the page

    Click Save, then check Published is on in the Pages list.

  33. See the resident form

    The page now contains the form. Required answers must be completed. Successful submissions are emailed to the address you chose. Later edits to a saved form update its use on pages.
