Upload and manage meeting minutes
Publish a document and make it easy to find through the Home shortcut.
Before you start: Sign in as an assigned Local Group Admin with Pages access. Minutes are managed in the group’s workspace.
How to use this lesson
Read the instruction, then look at the pointer on the example screen. Click or tap Next below when you are ready. The example screen is a demonstration. It cannot save, send or change anything.
“Select” means click once with a mouse, or tap once with a finger. You can go back, restart or take a break at any time.

Select “Pages”
In the real Admin Portal, find Pages in the left-hand menu and click it. On a small screen, open the navigation menu first.
Look at the example. Then select Next when you are ready.

Select “Pages”
In the real Admin Portal, find Pages in the left-hand menu and click it. On a small screen, open the navigation menu first.
Open “Local Group”
Click or tap the Local Group list to see its choices.
Select “Community Council”
Select the Local Group whose minutes you manage, if a selector is shown.
Check the selection
“Community Council” is now selected in Local Group.
Select Minutes
Select the Minutes tab beside Pages and Menu.
Select Add minutes
Click Add minutes to upload a meeting document.
Select “Meeting date”
Choose the actual meeting date; this is required.
Enter meeting date
Type your own details here. In this example, we have entered “15 September 2026”.
Select “Title (optional)”
A title is optional. If you leave it blank, the meeting date is used to describe the document.

Type your own details here. In this example, we have entered “September council meeting”.
Choose minutes document
Select a PDF or Word document, no larger than 20 MB. Select the file on your device, then select Open or Choose in your device’s file picker.
Check the selected file
Wait for the upload to finish. This example uses council-minutes-september.pdf. Your device’s file picker may look different.
Check Published
Published is on by default. Switch it off if the document should remain a draft until approved.
Switch off “Community Minutes”
Turn Community Minutes off to keep a published document on this Local Group’s Minutes page only.
Check the switch is off
“Community Minutes” is now off. Check this matches the choice you want.
Switch on “Community Minutes”
Turn Community Minutes on to include the document in the shared Minutes list linked from Home.
Check the switch is on
“Community Minutes” is now on. Check this matches the choice you want.
Save minutes
Click Save minutes and wait for the upload and save to finish.
Manage the document
Edit changes the date and title. The list switches change publication and Community Minutes sharing immediately. To replace a file, add a new minutes entry and remove the old one after checking it.
See the Home shortcut
Residents can select Minutes on Home to find shared published documents quickly. The Local Group’s own Minutes page also lists its published documents.
